Reception Team Lead required in Kintbury and Woolton Hill

Kintbury and Woolton Hill Surgery is a busy and well performing rural dispensing GP practice, operating over two sites on the outskirts of Newbury, within 15 minutes’ drive of each other and easily accessed from the A4, M4, and A34. We are looking to recruit a Reception Team Lead to oversee the smooth running of reception at both surgery sites, Kintbury and Woolton Hill.

Reporting to the Practice Manager, the postholder will liaise closely with doctors, nurses, reception, dispensing and admin teams to ensure processes at each site reflect the practice’s policies, ensuring we continue to deliver an excellent service to our patients.

  • Job Type: Part-time, permanent.
  • Pay: Up to £14.25 per hour.
  • Expected hours: 20 to 25 per week.
  • Work Location: In person.

Main duties and responsibilities

  • Acting as a first port of call for all staff including clinicians and admin teams and deal with any urgent queries thoroughly and efficiently.
  • Line managing the reception team, including staff support, staff development and identifying training needs/delivering training when required.
  • Completing staff appraisals, probation reviews and performance discussions with the support of the practice manager.
  • Compiling, monitoring and managing the reception rota to ensure safe staffing levels, including coordinating temporary cover during periods of sickness or annual leave.
  • Developing and embedding efficient reception practice policies, protocols and make suggestions on improvements, where appropriate and ensure the reception team adhere to protocols.
  • Liaising internally and externally with all practice staff, PCN (Primary Care Network) staff and other allied health professionals to encourage use of appropriate systems and processes across both surgeries, ensuring effective use of digital tools (eg. NHS App, AccuRx) and supporting patients to access NHS services.
  • Providing initial advice and support to patients wishing to raise concerns or complaints and if necessary, assisting the Practice Manager with further investigations.
  • Keeping the Practice Manager appraised of adverse and significant events and complaints.
  • Ensuring practice compliance for CQC, including regular audits and risk assessments.
  • Ensuring patient satisfaction is maintained.

You will be expected to work alongside the team, providing patient support on the telephone and reception front desk.

Our ideal candidate will be able to demonstrate that they have the required skills for the role and whilst experience as a GP receptionist or background in healthcare is desirable, training will be given to the right person. This role offers an exciting opportunity for an experianced receptionist seeking to gain further experience in a management role in general practice.

Shifts run from 8am to 1.30pm and 1pm to 6.30pm, with the option to cover some late evening surgeries (up to 8pm) plus occasional Saturday mornings. Some flexibility for this role is important as you many need to carry out extra hours to cover annual leave and other absences – but flexibility can be offered in return.

We offer a comprehensive and supportive induction to all our new members of staff and for this position, direct support from the Management Team and senior surgery staff will also be provided. The hours are negotiable, but core hours would be in the range of 20 to 25 hours per week.
